Standard Process for Customer Address Change

This procedure outlines the steps for Sales Executives to update customer address information in our records.

Customer Initiates Change:

  • Channel: Customer informs Sales Executive about their address change via phone, email, or in person.
  • Verification: Sales Executive verifies the customer's identity by requesting relevant account details (account number, name, etc.).
  • New Address Collection: Sales Executive clearly collects the customer's new address information, including:
    • Street address
    • Apartment/Unit number (if applicable)
    • City
    • State/Province
    • Zip code/Postal code
    • Country (if applicable)

Processing the Change:

  • Data Entry: Sales Executive submits the new address information electronically through our internal Customer Relationship Management (CRM) system.
  • Confirmation:
    • The system automatically generates a confirmation email to the customer with their updated address information.
    • Sales Executive can also verbally confirm the update with the customer.
  • Additional Updates:
    • Depending on your organization's structure, the Sales Executive may need to notify other departments (e.g., fulfillment, billing) about the address change.

Optional Steps:

  • Verification Call: In some cases, a follow-up call to the new phone number provided by the customer might be required to confirm the information.
  • Documentation: If necessary, a physical record of the address change can be maintained for internal purposes. Note: This practice may vary depending on local regulations.
